Chainline (“Chainline,” “we,” “us”) provides software that bike shops use to run point of sale, repair tickets, inventory, and customer communication. This policy explains what information we collect, how we use it, and who we share it with.

1. Who this policy covers

  • Shops. Businesses that sign up for and use Chainline, and their staff.

  • Shop customers. People who bring a bike to, or buy from, a shop that uses Chainline.

  • Website visitors. People who visit chainlinesuite.com or contact us through it.

If you are a shop customer, your relationship is with the shop. The shop decides what information to collect about you and how to use it. Chainline stores and processes that information on the shop’s behalf, as its service provider. Questions about how a shop uses your information should go to that shop first.

2. Information we collect

From shops: business name, address, and contact details; account holder and staff names, emails, and login credentials; payout and business verification details collected through our payment processor; product, inventory, pricing, and sales records; and settings and content the shop creates in Chainline.

About shop customers, on behalf of the shop:

  • Name, phone number, email address, and mailing address

  • Bike details, such as make, model, size, and serial number

  • Work orders, service history, inspection results, and photos of the bike

  • Purchase and transaction records, such as amounts, dates, items, card brand, and the last four digits of the card

  • Messages sent and received through Chainline

  • How long you have been a customer of the shop

  • Whether you have agreed to receive marketing messages

  • Notes shop staff write on your account

From website visitors: information you submit through our contact or newsletter forms, and basic technical information such as browser type, pages viewed, and IP address, collected through cookies and similar tools.

3. How we use information

  • To provide, maintain, and support the Chainline service

  • To process payments through our payment processor

  • To deliver messages that shops send to their customers

  • To keep the service secure and prevent fraud or misuse

  • To improve Chainline, including using information that has been aggregated or de-identified so it cannot reasonably identify a person or shop

  • To communicate with shops and website visitors about their accounts, inquiries, and our services

  • To comply with legal obligations

We use shop customer information only to provide the service to the shop it belongs to. We do not use it to market Chainline or anything else to shop customers.

4. Text messages

Shops use Chainline to send text messages to their customers. There are two kinds.

Service messages are about work you have requested or a purchase you made, such as an estimate, an approval request, a status update, or a pickup notice. By giving your phone number to the shop for your service, you agree to receive these messages.

Marketing messages are promotions, reminders about future service, and offers. Shops may only send these to customers who have agreed to receive them. After you agree, you will receive one confirmation text.

The shop sending a message is responsible for its content and for having your consent where required. Message frequency varies. Message and data rates may apply.

Reply STOP at any time to stop receiving texts from a shop. Reply HELP for help. If you stop texts, the shop may contact you another way about open work, and you can still check your service status using the link the shop provides.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are never shared with any third party, except service providers that deliver messages on our behalf.

5. Email

Chainline or the shops that use it may send email, such as receipts, estimates, service updates, and account notices. Marketing emails are sent only where permitted by law and include a way to unsubscribe.

6. How we share information

We do not sell personal information.

We share information only in these cases:

  • With the shop it belongs to. Each shop’s data is kept separate. One shop cannot see another shop’s customers or records.

  • With service providers that help us run Chainline, such as payment processing, text message delivery, email delivery, and cloud hosting. They may use the information only to provide services to us.

  • For legal reasons, when required by law, court order, or to protect the rights, safety, or property of Chainline, our users, or others.

  • In a business transfer. If Chainline is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction. It will remain subject to the commitments in this policy.

7. Payments

Payments are processed by Stripe. Chainline never receives or stores full card numbers. We keep transaction records, such as amounts, dates, card brand, and the last four digits, so shops can manage sales and refunds. Stripe’s use of payment information is governed by Stripe’s Privacy Policy.

8. Service status links

Shops can send customers a link to view the status of their service. Anyone with the link can open it, so it shows only limited information: service status, the work recommended, photos of the bike, and the amount due. It does not show your address, full contact details, or account notes. Do not share the link if you do not want others to see your service details.

9. How long we keep information

We keep information for as long as a shop has an active account. When a shop closes its account, it can export its data. We delete the shop’s data, including its customer records, 90 days after the account closes. Some records may be kept longer where required by law, such as tax and payment records, and copies in backups are deleted on their normal schedule.

10. Security

We use reasonable administrative, technical, and physical safeguards to protect information, including encryption in transit and access controls. No system is completely secure, and we cannot guarantee the security of information. If we learn of a security incident that affects your information, we will notify affected shops and, where required by law, affected individuals.

11. Your choices and rights

Shop customers: to access, correct, or delete your information, contact the shop you do business with. If you contact us, we will refer your request to the shop and help it respond. You can stop text messages at any time by replying STOP.

Shops: you can access, correct, and export your data from within Chainline, or contact us for help.

Depending on where you live, you may have additional rights under state privacy laws. We will honor those requests as required by law.

12. Children

Chainline is not directed at children under 13, and we do not knowingly collect their personal information. When a shop services a child’s bike, the parent or guardian is the customer of record.

13. Changes to this policy

We may update this policy. If we make material changes, we will post the new version with a new effective date and notify shops through the service or by email.
